Toy Fair 2027 Freight Shipping Checklist: 10 Things Every Exhibitor Should Do Before Shipping to the Javits Center
Toy Fair New York 2027
Dates: February 20–23, 2027
Location: Jacob K. Javits Convention Center, New York City
Trucking, Warehousing & Logistics: MO Trucking Inc.
Preparing for Toy Fair New York involves much more than designing a booth and selecting the products you want buyers to see.
You also have to figure out how your toys, displays, booth materials, samples, signage, fixtures, marketing materials and supplies are going to arrive in New York safely and on schedule.
Toy Fair 2027 is scheduled for February 20–23, 2027 at the Jacob K. Javits Convention Center in New York City. Toy Fair is the largest toy show in the Western Hemisphere and brings together manufacturers, retailers, buyers, inventors, licensors and other toy-industry professionals.
The most recent Toy Fair welcomed 720+ exhibiting companies, including more than 175 first-time exhibitors, demonstrating just how many companies may be coordinating products, displays and booth materials into the same New York venue.
Whether this is your first Toy Fair or your company has exhibited for years, transportation should be planned well before show week.
Here is a practical freight checklist to help you prepare.
-
Book Your Toy Fair Trucking Early
Do not make freight transportation the last item on your Toy Fair checklist.
As the show gets closer, exhibitors throughout the country will be arranging transportation into the New York metropolitan area.
That may mean increased demand for:
- Tractor-trailers
- Straight trucks
- Liftgate equipment
- LTL capacity
- Dedicated trucks
- Warehouse space
- Drivers familiar with New York City
- Appointment delivery service
- Trade-show freight transportation
Waiting until immediately before the show can reduce your options.
Start discussing transportation as soon as you know:
- What you are shipping
- Where it will originate
- Approximately how much space it will require
- When it will be ready
- Whether it needs temporary storage
- Whether you want direct or staged transportation
You do not necessarily need every final detail to begin planning.
Early communication gives your logistics provider time to develop a transportation plan instead of reacting to a last-minute problem.
-
Decide Between Direct Delivery and Advance Warehousing
One of the first decisions exhibitors should make is whether freight should move toward the Javits Center close to show move-in or whether it should be positioned in the New York area beforehand.
Toy Fair’s own 2027 exhibitor planning resources specifically recognize both advance-warehouse and direct-to-show-site shipping as options exhibitors need to understand. Detailed 2027 shipping and move-in resources are being released during the planning cycle.
MO Trucking Inc. offers exhibitors another possibility:
Independent Secondary Advance Warehouse Staging
Instead of having your freight remain hundreds or thousands of miles away until shortly before move-in, you can contact MO Trucking Inc. about staging it at our warehouse before the show.
We are not the official Toy Fair advance warehouse or official show freight contractor.
Our warehouse is an independent secondary staging option for exhibitors who want another choice.
This may be attractive to companies that prefer:
- More personal communication
- A direct logistics contact
- Local New York staging
- Short-term storage
- Multiple-shipment consolidation
- Cross-docking
- Flexible transportation planning
- A local carrier for the next stage of the shipment
The official show freight operation must accommodate freight from large numbers of exhibitors.
Some companies may prefer to have their products staged separately until they are ready for the final transportation stage.
That is where MO Trucking Inc. can help.
-
Consider Sending Freight to MO Trucking 7–30 Days Before Toy Fair
If you want to reduce the pressure of long-distance transportation immediately before the event, consider moving your freight into the New York area early.
MO Trucking Inc. recommends that exhibitors using our independent warehouse staging option plan for freight to arrive approximately:
7 to 30 Days Before the Show
Toy Fair begins February 20, 2027.
That creates a suggested MO Trucking advance-staging window of approximately:
January 21 through February 13, 2027
Arriving early can provide time to deal with transportation delays before they become show-day emergencies.
It can also be particularly helpful if your freight originates in:
- California
- Texas
- Florida
- Georgia
- Illinois
- Ohio
- Michigan
- Pennsylvania
- New England
- The Southeast
- The Midwest
- Canada
- A U.S. port
- An international freight forwarder’s terminal
Do not ship freight to the MO Trucking warehouse without contacting us first.
We will confirm availability and provide current warehouse receiving instructions.
-
Label Every Pallet, Crate and Carton
One of the simplest ways to prevent freight identification problems is to label everything properly.
Do not put one show label on an entire shipment and assume all pieces will always remain together.
If you have 10 pallets, label all 10 pallets.
If you have six crates, label all six crates.
If you have individual cartons that might become separated from their pallet, label those as well.
For freight going to the MO Trucking warehouse, we recommend that each shipping unit identify:
TOY FAIR NEW YORK 2027
EXHIBITING COMPANY:
Your company name
BOOTH NUMBER:
Your booth number
EXHIBITOR CONTACT:

CELL PHONE:

PIECE COUNT:

etc.

FINAL DESTINATION:

Toy Fair New York 2027
If the booth number has not yet been assigned, use:
BOOTH: PENDING
Then provide the booth number to MO Trucking when it becomes available.
-
Prepare the Bill of Lading Correctly
Your Bill of Lading is one of the most important documents accompanying the freight.
If your shipment is being delivered to MO Trucking first, the carrier needs to understand that our warehouse—not the Javits Center—is its current delivery destination.
The BOL should show:
SHIPPER
Your company or shipping location
CONSIGNEE
MO TRUCKING INC.
TOY FAIR 2027 – SECONDARY ADVANCE STAGING
Use the warehouse address provided directly by MO Trucking when your shipment is booked.
REFERENCE INFORMATION
Include:

-
Email Your BOL and Tracking Information Before the Shipment Arrives
This is a small step that can make a major difference.
If MO Trucking is receiving your Toy Fair freight, email us the BOL before the truck arrives.
Send:
- Copy of the BOL
- Exhibitor name
- Booth number
- Carrier name
- PRO number
- Tracking number
- Number of pallets
- Total pieces
- Weight
- Expected arrival date
- Contact person’s cell number
This is part of the more personal logistics service we want to provide Toy Fair exhibitors.
Instead of your freight simply being another unidentified shipment arriving at a warehouse, we want our team to know what is expected.

-
Consolidate Multiple Suppliers Before the Show
Toy Fair freight does not always come from one location.
A toy company might have:
Shipment #1: Finished toys from its distribution center
Shipment #2: Booth displays from an exhibit company
Shipment #3: Printed brochures and catalogs from a printer
Shipment #4: Promotional merchandise from another supplier
Shipment #5: Signs or graphics from a marketing company
Shipment #6: Furniture or booth fixtures from another vendor
Trying to coordinate six suppliers so everything arrives at exactly the right place and time can become complicated.
Instead, contact MO Trucking Inc. about receiving the shipments separately at our warehouse.
For example:
4 pallets – product samples
2 pallets – booth materials
1 crate – exhibit fixtures
3 pallets – catalogs and promotional material
The freight can potentially be received and staged under the same:
- Exhibiting company name
- Booth number
- Toy Fair reference
This gives exhibitors another way to organize their freight before the final show delivery process.
-
Schedule Final Transportation Toward the Javits Center Carefully
Getting freight into New York is only the first part of the process.
The next question is:
When and how does it move toward the Javits Center?
The Jacob K. Javits Convention Center is located at 445 11th Avenue in New York City, and Toy Fair 2027 runs February 20–23.
Toy Fair’s current Exhibitor Tools page says additional Shipping & Move-In Logistics information will be made available as the 2027 planning cycle progresses. It also lists a December 2 exhibitor session specifically covering move-in, move-out, target move-in scheduling and shipping to either the advance warehouse or show site.
This matters.
Do not assume that a truck can simply drive to the Javits Center whenever it wants and unload your freight.
Before final transportation, exhibitors should verify the current official:
- Target move-in schedule
- Delivery instructions
- Shipping labels
- Show contractor requirements
- Material-handling procedures
- Booth information
- Exhibitor Kit instructions
- Move-in requirements
MO Trucking can coordinate the trucking side of the movement around the instructions supplied by the exhibitor.
-
Plan Outbound Transportation Before Toy Fair Starts
Most exhibitors spend a lot of time planning how freight will get into the show.
Do not forget about how it gets out.
Toy Fair ends on February 23, 2027.
Before the show even begins, decide what should happen to your remaining:
- Product samples
- Booth displays
- Fixtures
- Furniture
- Signs
- Marketing material
- Crates
- Pallets
- Unsold products
- Promotional inventory
Possible post-show plans include:
Return to Your Factory
MO Trucking can discuss return transportation.
Return to Your Distribution Center
Have the material sent back into your normal inventory network.
Send It to Another Trade Show
If Toy Fair is one stop on a larger exhibition schedule, the freight may need to continue to another event.
Put It Into Storage
If the freight is needed later, temporary storage may make more sense than immediately sending it across the country.
Deliver It to a Customer
Some samples or inventory may be destined for a retailer, distributor or another business after the show.
Return It to the MO Trucking Warehouse
Contact us about post-show transportation and temporary warehousing.
Having an outbound plan before move-in gives you one less thing to figure out during the event.
-
Keep One Logistics Contact Throughout the Process
Trade-show freight can involve a surprising number of people:
- Exhibitor
- Manufacturer
- Factory
- Distributor
- Warehouse
- LTL carrier
- Truckload carrier
- Freight forwarder
- Customs broker
- Exhibit company
- Printer
- Show contractor
- Convention center
When a problem develops, figuring out who is responsible can take valuable time.
One of the advantages MO Trucking wants to offer exhibitors is a direct logistics contact.
We can discuss handling multiple parts of your transportation plan rather than simply providing one isolated truck movement.
Depending on your requirements, that could include:
Supplier pickup → MO Trucking warehouse → storage/staging → scheduled transportation toward Toy Fair → post-show pickup → next destination
That creates a more organized transportation chain.
A More Personal Alternative for Advance Toy Fair Freight
Large trade shows require large-scale freight operations.
Those systems are necessary.
But some exhibitors may prefer another option before their freight enters the official show freight-handling process.
MO Trucking Inc. can provide an independent secondary advance warehouse for exhibitors who want their freight positioned near New York ahead of the event.
Our objective is simple:
Receive It.
Know what is coming.
Identify It.
Keep exhibitor and booth information with the freight.
Store It.
Stage freight before it is needed.
Consolidate It.
Bring together shipments from multiple vendors when arrangements have been made.
Coordinate It.
Communicate with the exhibitor about timing.
Transport It.
Provide the trucking needed for the next stage of the shipment.
We are not representing ourselves as the official Toy Fair advance warehouse, official freight contractor, The Toy Association or the Javits Center.
We are giving exhibitors another logistics option.
